Performing Rights Organizations (PROs) like ASCAP, BMI, PRS, GEMA, and SACEM collect royalties on behalf of songwriters and publishers. But getting registered correctly - and getting paid - requires specific documentation that many creators do not understand.
The Basics: What PROs Do
PROs collect two main types of royalties:
- **Performance royalties**: When your music is played publicly (radio, TV, streaming, live venues)
- **Mechanical royalties**: When physical or digital copies of your music are made (streams count as mechanical uses)
To collect these royalties, PROs need to know exactly who wrote and published each song, what percentage each contributor owns, and how to identify them in global databases.
IPI Numbers: Your Global Identifier
The IPI (Interested Parties Information) number is the international standard for identifying songwriters and publishers. Every PRO assigns IPI numbers to their members.
Your IPI is permanent and follows you globally. If you register with ASCAP in the US, then later work with PRS in the UK, both societies link back to your IPI.
- Get your IPI number from your PRO immediately after joining
- Include your IPI on every registration and collaboration agreement
- If you have multiple IPIs (from different societies), work with your PRO to link them
- Never create fake or placeholder IPI numbers
CWR Files: The Registration Standard
CWR (Common Works Registration) is the technical standard for registering songs with PROs worldwide. It is an industry-standard file format that contains all the metadata collecting societies need.
A CWR file includes:
- Song title and alternate titles
- All contributors (writers, composers, arrangers) with IPI numbers
- Split percentages for each contributor
- Publisher information with their IPI numbers
- Territory restrictions (if any)
- ISWC (if already assigned)
What Most Registrations Get Wrong
- **Missing IPI numbers**: The most common error. Without IPIs, your registration may be rejected or royalties cannot be routed
- **Splits that do not add up to 100%**: Each contributor type (writer share, publisher share) must total exactly 100%
- **Inconsistent metadata**: Song title spelled differently than how it appears on streaming platforms
- **Missing contributors**: All writers must be included, even if their share is small
- **Wrong territories**: If you only control rights in certain countries, this must be specified
The Registration Workflow
- 1. Create with all contributors documented from the start
- 2. Agree on splits before release (in writing)
- 3. Ensure all contributors have IPI numbers
- 4. Register the work with your PRO using complete metadata
- 5. Verify the registration was accepted (check for errors)
- 6. Distribute with ISRC codes that match your registration
Tools That Help
Modern release documentation platforms can help structure this workflow:
- Validate IPI numbers before registration
- Calculate splits and ensure they total 100%
- Export CWR files formatted correctly for PROs
- Track which works are registered and where
- Store acknowledgment records from all contributors
Getting your PRO registration right the first time saves months of correction requests and delayed royalties.
